Privacy Policy

Protecting your private information is our priority. This Statement of Privacy applies to www.syntaxia.com, the Syntaxia platform at app.syntaxia.com, our documentation at docs.syntaxia.com, and Nomad Engineers LLC DBA Syntaxia. For the purposes of this Privacy Policy, unless otherwise noted, all references to Nomad Engineers LLC DBA Syntaxia include www.syntaxia.com. The Syntaxia website is an informational site. By using the Syntaxia website, you consent to the data practices described in this statement.

The Syntaxia Platform

Account information. When your organization gives you access to the platform, we collect your name, work email, and organization. You sign in with a passkey or an emailed sign-in link, so there is no platform password for us to store.

Usage information. We log sign-ins, access events, and the questions you ask the platform's AI agents, along with their answers. We use these logs to secure the service, support you, and show where each answer came from.

Support requests. When you report a problem from inside the platform, we receive your report, the page you were on, and any screenshot you choose to attach.

Customer data. Our customers bring their own business data into the platform, by uploading files or connecting their own systems. We process that data only to provide the service, on our customer's behalf and under our agreement with them. The customer controls that data. If your information is in a customer's data and you want to access, correct, or delete it, please contact that customer. If you contact us instead, we will pass your request to them.

AI features. The platform's AI agents use the AI provider each customer connects, under that customer's own agreement with the provider. We do not use customer data to train AI models.

Where data is stored. Platform data is stored on Amazon Web Services in the United States, encrypted at rest and in transit. Only a small number of authorized Syntaxia staff can access customer data, and every access is logged.

Service providers. We use Amazon Web Services for hosting and storage, and Fivetran for the data connections customers set up. They may use the data only to provide their services to us.

Retention. We keep customer data while the customer's contract is active. We delete it within 90 days after the contract ends, unless the contract says otherwise.

Website Forms

What we collect. When you use a form on the Syntaxia website, we collect your name, work email, and what you choose to tell us, such as your company and your message. We also record the page you used, how you reached the website (for example, campaign tags in the link), and your country.

How we use it. We use this information to reply to you, to send you what you asked for, such as a report, and to send you one confirmation email. If you agree to receive occasional updates, we record that choice.

Service providers. We use Cloudflare to host the website, process the forms, and store your submission and our reports. We use Basecamp to manage the follow-up with you, Amazon Web Services to send email, Google to schedule meetings you book, and PostHog to measure how the website is used. They may use the data only to provide their services to us.

Collection of your Personal Information

In order to better provide you with products and services, Syntaxia may collect personally identifiable information, such as your:

• First and Last Name
• E-mail Address
• Phone Number

We do not collect any personal information about you unless you voluntarily provide it to us. However, you may be required to provide certain personal information to us when you elect to use certain products or services. These may include: (a) registering for an account; (b) entering a sweepstake or contest sponsored by us or one of our partners; (c) signing up for special offers from selected third parties; (d) sending us an email message; or (e) submitting your credit card or other payment information when ordering and purchasing products and services. We will use your information for, but not limited to, communicating with you in relation to services and/or products you have requested from us. We may also gather additional personal or non-personal information in the future.

Use of your Personal Information

Syntaxia collects and uses your personal information to operate and deliver the services you have requested.

Syntaxia may also use your personally identifiable information to inform you of other products or services available from Syntaxia and its affiliates.

Sharing Information with Third Parties

Syntaxia does not sell, rent, or lease its customer lists to third parties.

Syntaxia may share data with trusted partners to help perform statistical analysis, send you email or postal mail, provide customer support, or arrange for deliveries. All such third parties are prohibited from using your personal information except to provide these services to Syntaxia, and they are required to maintain the confidentiality of your information.

Syntaxia may disclose your personal information, without notice, if required to do so by law or in the good faith belief that such action is necessary to: (a) conform to the edicts of the law or comply with legal process served on Syntaxia or the site; (b) protect and defend the rights or property of Syntaxia; and/or (c) act under exigent circumstances to protect the personal safety of users of Syntaxia, or the public.

Automatically Collected Information

Information about your computer hardware and software may be automatically collected by Syntaxia. This information can include: your IP address, browser type, domain names, access times, and referring website addresses. This information is used for the operation of the service, to maintain the quality of the service, and to provide general statistics regarding the use of the Syntaxia website.

Use of Cookies

The Syntaxia website may use "cookies" to help personalize your online experience. A cookie is a text file that is placed on your hard disk by a web page server. Cookies cannot be used to run programs or deliver viruses to your computer. Cookies are uniquely assigned to you and can only be read by a web server in the domain that issued the cookie to you.

One of the primary purposes of cookies is to provide a convenience feature to save you time. The purpose of a cookie is to tell the Web server that you have returned to a specific page. Right to Deletion

Subject to certain exceptions, on receipt of a verifiable request from you, we will:

• Delete your personal information from our records; and
• Direct any service providers to delete your personal information from their records.

• Complete the transaction for which the personal information was collected;

Children Under Thirteen

Syntaxia does not knowingly collect personally identifiable information from children under the age of thirteen. If you are under the age of thirteen, you must ask your parent or guardian for permission to use this website.

E-mail Communications

From time to time, Syntaxia may contact you via email for the purpose of providing announcements, promotional offers, alerts, confirmations, surveys, and/or other general communication.

External Data Storage Sites

We may store your data on servers provided by third-party hosting vendors with whom we have contracted.

Changes to this Statement

Syntaxia reserves the right to change this Privacy Policy from time to time. We will notify you about significant changes in the way we treat personal information by sending a notice to the primary email address specified in your account, by placing a prominent notice on our website, and/or by updating any privacy information. Your continued use of the website and/or services available after such modifications will constitute your: (a) acknowledgment of the modified Privacy Policy; and (b) agreement to abide and be bound by that Policy.
